Job Description

Position:               Document Control Center Specialist – RLPP Project
Location:              Doha, Qatar, RLPP Project Management Team (PMT) Office
Responsibility:     Support all document control center technologies in use by the RLPP project teams.
Reports To:           Document Control Manager

Overview
This individual is initially responsible for participation in formative decisions in basic document control, RLP EDMS and records management.
Engineering and Procurement Phase IV
General
  • Assist with Pre-load Contractor & Vendor deliverables into RLP EDMS (MDL’s)
  • Received documentation from Contractor & QA to make sure it meets RLP requirements
  • Correct RLPP & site Document Numbers assigned
  • Correct format
  • Signed
  • Verify information on transmittal vs. what was received is accurate
  • Verify correct electronic file name has been applied
  • Verify documents have been issued for the proper statues per our Document Numbering Guide
  • Upload and attach documentation issued by the Contractor to the existing pre-loaded records or create new ones in company EDMS
  • Fill out all the required metadata per document when loaded into RLP EDMS

  • Generate Transmittals as requested via RLP EDMS
  • Support PMT team members located in the contractor offices
  • Audit & confirm all issued documentation is in fact in RLP EDMS with the correct metadata
  • Follow work flow processes & procedures as developed by DIM
  • Will be the RLP EDMS Super User for the Contractor location
  • Interface with Contractor’s DCC
  • Contractors EDMs Super User
  • Track review cycle & interface with consolidators
  • Follow work flow processes & procedures as developed by DIM
  • Return client comments to Contractor DCC & RLP PMT – load final into company EDMS
  • Establish & maintain a matrix for contractor location – using template created by DCC PMT
  • Audit & track the process for Vendor & Subcontractor Deliverables or Review & Info via Contractor Red Lining system
  • Assign metadata for documents to be uploaded into RLP EDMS for RLPP
  • Collect & Scan comments from Engineering sitting at Contractor location and process into a return to the Contractor
  • Assist with auditing of others Units
  • Audit Contractor Database
  • Audit Contractor work processes
  • Audit RLPP RLP EDMS to Contractor EDMS (no gaps) – monthly activity
  • Upload documents into RLP Sharefile for Contractor to receive
  • Manage RLPP mail box & requests
  • Run reports
  • Oversee dedicated contractor support - secondees
  • Site drawing requests
  • Set up & manage client work space
  • Attend Project Meetings
Construction, Commissioning & Start-up Phase
  • Provide support to all subsequent phases through to Commissioning and start-up.
Ensure Business needs are met in construction
